FLEET CO-ORDINATOR | £28,000 per anum | Warrington

Monday – Friday | 08:00 – 16:30

KPI Recruiting are currently looking for a proactive and organised Fleet Co-ordinator to join a busy Head Office team in Warrington. This is a fantastic opportunity for someone with previous fleet administration or vehicle management experience to take ownership of a fleet of over 80 vehicles, including cars and vans.

The successful candidate will be responsible for the day-to-day administration, co-ordination and management of the fleet, ensuring vehicles, drivers, compliance and maintenance are managed efficiently.

Key Responsibilities

• Prioritise and manage a fleet of over 80 vehicles, including cars and vans.
• Prepare vehicles for new contract start dates and co-ordinate vehicle handovers and collections.
• Set up new drivers on vehicle management systems, including Fleet Check and Quartix.
• Maintain accurate fleet inventory and driver data, including new starters, leavers and changes to eligibility or dates.
• Co-ordinate driver training, fuel cards and alternative vehicle arrangements.
• Manage insurance matters, MOTs, parking permits, driving offences and other vehicle management issues.
• Monitor Congestion Charge, Dart Charge, ULEZ and toll requirements.
• Liaise with lease companies regarding servicing, repairs and vehicle maintenance.
• Ensure vehicles are maintained in a safe and roadworthy condition and oversee maintenance schedules.
• Arrange vehicle recovery when required, including occasional out-of-hours requirements.
• Raise Purchase Orders and maintain accurate records of fleet-related expenditure.
• Produce reports covering MOTs, fuel usage, sustainability, vehicle costs and driver/telematics information.
• Carry out regular checks to ensure adherence to the Vehicle Policy.
• Maintain strong relationships with fleet suppliers and ensure agreed SLA requirements are met.
• Monitor and update telematics systems and produce weekly and monthly usage reports.
• Manage driver reward schemes and monitor driving standards through telematics data.
• Ensure all fleet vehicles comply with Health & Safety policies and relevant requirements.
• Manage vehicle accident claims and liaise with insurers as required.
• Maintain accurate accident and incident records.
• Maintain detailed invoice records for individual vehicles to support monthly, quarterly and annual cost analysis.
• Identify opportunities to reduce fleet costs and improve efficiency.
• Arrange occasional vehicle movements for servicing, repairs and maintenance.
• Support the wider fleet function and ensure agreed SLAs and KPIs are achieved.

Skills & Experience

• Previous experience in fleet administration, fleet co-ordination or a similar vehicle management role.
• Experience managing or administering a company fleet would be highly advantageous.
• Strong organisational skills with the ability to prioritise and manage multiple responsibilities.
• Excellent attention to detail and the ability to maintain accurate records.
• Confident communicating with drivers, suppliers, lease companies, insurers and internal stakeholders.
• Experience using fleet management or telematics systems would be advantageous.
• Good IT skills and confidence using databases, spreadsheets and reporting systems.
• Knowledge of vehicle compliance, MOTs, insurance and servicing would be beneficial.
• Strong problem-solving skills with a proactive approach to resolving issues.
• Ability to work independently and take ownership of responsibilities.
• Commercially aware, with an understanding of fleet costs and opportunities for savings.
• Ability to work effectively under pressure and meet deadlines.
• Full UK driving licence required due to occasional vehicle movements.
• Positive and proactive attitude with excellent communication and interpersonal skills.

Package & Benefits

• Starting salary of £28,000 per annum, rising to £29,000 following successful completion of a 6-month probationary period.
• 26 days’ holiday per year, pro rata (January – December).
• Full-time, permanent position.
• Monday – Friday, 08:00 – 16:30.
• Based in Warrington.
