Import Administrator

Location: Stoke-On-Trent
Hours: Monday to Friday, Full-Time

 

About the Role

Our client is currently looking for an Import Administrator to join their busy and fast-paced operations team. This role plays a key part in ensuring the smooth coordination of import shipments across Europe, providing essential administrative and operational support.

 

Key Responsibilities

  • Coordinate and arrange European cargo collections and manage customer bookings
  • Liaise with European partners and agencies to ensure a seamless service
  • Check and process commercial invoices accurately
  • Communicate with internal departments including customs, transport, and warehouse teams
  • Provide quotations for European import shipments
  • Prepare domestic delivery documentation for transport
  • Input shipment details, costs, and charges into the transport management system
  • Prepare unloading lists for warehouse operations
  • Maintain accurate and up-to-date administrative records
  • Ensure effective communication across departments to support timely delivery of goods
  • Manage spreadsheets and track shipment data
  • Handle customer queries and resolve issues in a professional and timely manner
  • Respond to customer enquiries via phone and email
  • Support continuous improvement of internal processes
  • Assist with additional tasks as required by management

 

Requirements & Skills

  • Previous experience in an administrative or customer service role
  • Experience within logistics, freight forwarding, or European import/export operations is highly desirable
  • Understanding of import customs procedures and documentation (e.g. T1/T2) is advantageous
  • Strong communication skills and ability to build relationships with internal and external stakeholders
  • Good working knowledge of Microsoft Office (Excel, Word, Outlook)
  • High level of accuracy and attention to detail
  • Ability to prioritise workload and manage time effectively in a fast-paced environment
  • Willingness to learn new systems and processes quickly
